Export Reports

Download Aspire reports and open them in Google Sheets or Excel.

After generating a report in the Aspire platform, the next step may be to download the file and open it in Google Sheets or Microsoft Excel for further review, filtering, or presentation.

This allows facilitators and program staff to organize the data, highlight trends, and share information with leadership or community partners.

Step 1 Log Into the Aspire Platform

Begin by logging into the Aspire platform with your facilitator or facilitator admin account.

Step 2 Go to Analytics

From the main menu, navigate to Analytics.

Step 3 Select Reports

Under Analytics, click Reports.

This will open the reporting area where you can generate data from your selected project.

Step 4 Choose the Correct Project

Select the project you want to pull data from.

Example:

Bridge to 100

Step 5 Select the Survey and Date Range

Choose:

  • the correct Survey
  • the From date
  • the To date

This tells the system which responses to include in the report.

Step 6 Select the Sheets to Include

Choose the sections you want included in the report, such as:

  • Socioeconomic
  • Members’ Data
  • Indicators
  • Priorities
  • Achievements
  • Notes
  • Interventions

Select only the sheets you need if you want a cleaner export.

Step 7 Generate and Download the Report

Once all options are selected, generate the report and download the file to your computer.

Depending on the platform settings, the file may download as:

  • Excel file (.xlsx)
  • CSV file (.csv)

Save the export in the location approved by your organization for participant data.

Uploading into Google Sheets

If you want to open the report in Google Sheets, follow these steps:

Step 1

Go to Google Sheets.

Step 2

Click Blank Spreadsheet to open a new sheet.

Step 3

Click File → Import.

Step 4

Select the Upload tab.

Step 5

Drag the Aspire report file into the window, or click Browse and select the file from your computer.

Step 6

Choose how you want to import the file.

Recommended options are usually:

  • Create new spreadsheet
  • or Insert new sheet(s)

Step 7

Click Import Data.

Your Aspire report data will now appear in Google Sheets, where you can sort, filter, and format it.

Opening in Microsoft Excel

If you want to use Microsoft Excel, follow these steps:

Step 1

Open Microsoft Excel.

Step 2

Click File → Open.

Step 3

Browse to the downloaded Aspire report file on your computer.

Step 4

Select the file and click Open.

If the file is already in Excel format, it should open directly.

If the file is a CSV, Excel will still open it, but you may need to adjust column widths or formatting.

Why Use Google Sheets or Excel

Uploading Aspire data into Google Sheets or Excel makes it easier to:

  • sort participant data
  • filter by dates or indicators
  • highlight progress
  • prepare reports for leadership
  • build charts or summaries for presentations

This can be especially helpful when sharing results with staff, board members, funders, or community leaders.

Facilitator Tip

Select only the sheets and fields needed for the task. Before sharing a report outside the care team, follow your organization’s process for removing participant identifiers and limiting access.
